Event Jerseys Planned Around Your Date

Work back from the handout date. Set artwork, roster, production, and shipping deadlines before the event.

  • ✓ One event file for every team and sponsor
  • ✓ Packing matched to the on-site handout

Set the Deadlines Before Production

Confirm separate cut-offs for artwork, sponsors, sample approval, final rosters, production, and shipping. Any change after a cut-off must be checked against the time left.

Six Controls for a Fixed Event Date

Each team, file, and approval needs a clear place in the schedule.

Handout Date First

Record when and where each group needs its jerseys.

One Event File

Keep team, player, sponsor, size, and packing data together.

Main Jersey Approval

Approve the main construction, color, and sponsor positions before all team versions are released.

Separate Team Versions

Give each team its own artwork, roster, sizes, and quantities.

Change Record

Record later changes separately so only the final version enters production.

Packing Groups

Set the team, player, size, or collection groups before packing.

Work Back from the Handout Date

Set the handout date first, then allow time for shipping, inspection, production, and approvals.

  • Handout date
Record the date, place, and receiving group.
  • Shipping buffer
Allow for the destination, shipping method, customs, and local delivery.
  • Production window
Standard bulk production is 15–20 working days after the required approvals and order details are complete.
  • Approval cut-offs
Set dates for artwork, sponsors, the sample, and final rosters.

Keep Every Team Version Separate

Use one row for each player and one artwork version for each team.

  • Team version
Record the team, kit color, product, and artwork.
  • Player roster
Match each name, number, size, and item to the team.
  • Sponsor map
Link each sponsor file and position to the right jersey.
  • Change record
Mark the affected player, product, team, and date.

Pack for Event Handout

Packing groups should follow the on-site collection plan.

  • By team
Keep each team in a marked carton or inner group.
  • By player or size
Add labels for individual or size-based collection.
  • Staff and volunteers
Keep non-player items outside team rosters.
  • Carton record
Match carton numbers and quantities to the packing list.

How We Control Event Order Errors

These checks focus on multi-team data, sponsors, sizes, changes, and event packing.

Each team uses a final roster. Names, numbers, sizes, and products are checked during artwork, production, garment inspection, and packing.
Each sponsor file and position is tied to one team artwork version. The approved version is checked before production and during garment inspection.
Each size follows the approved size chart and measurement method. Bulk inspections sample the agreed points, and packing labels are checked against the final roster.
Later changes use a separate record. The affected artwork, production file, packing group, and schedule are checked before the change is released.
Orders can be grouped by team, player, size, or collection batch. Garments, labels, quantities, and carton records are checked before shipment.
